Construction
Client background: Residential property developer operating in the south east. Established in 1998, team of 33 + external contractors.
Challenges: Our client was having trouble collaborating on projects with site workers and external contractors. Over reliance on email, limited ability for staff and externals to access the data they needed when on-site.
Results: Following a brief consultation, we implemented solutions to allow our client and external contractors to collaborate on project data in real time, with full integration for comments, notes, chat, video, photos, voice calling and scheduling. This was backed up by an automated archival and data management solution.
Communication and access to data has been significantly improved, and in the 2 years since implementation, avoidable project delays have been significantly reduced.
Medical
Client background: Private general practitioners’ in the south east, 2 sites, team of 7.
Challenges: IT systems not dependable during crucial patient contact hours, and difficult to balance the needs of convenience for admin staff with strict regulations in the medical industry.
Results: We were contracted by the client to implement a system to allow admin and medical staff to access necessary patient data in a highly available environment, whilst also allowing for adherence to strict retention policies.
We implemented a hybrid-cloud system to integrate identity management across both on-site and cloud infrastructure, providing access to data from anywhere whilst easily maintaining compliance with retention policies and access rights. We also provided consultation for Cyber Essentials certification.
Legal
Client background: Solicitor’s practice in west London. Team of 8. Established in 2011.
Challenges: Over reliance on paper contracts, scanning, printing and filing. Low security of systems and data.
Results: We have implemented a highly automated and secure e-signature system for documents, backed up by biometric verification and rights management servers.
The client can now easily send and receive important tracked and signed documents. Filing and archival takes place digitally and all systems are audit logged. Compliance is ensured as well as cutting down on valuable time previously spent on admin.
Food Service
Client background: Restaurant, established in 2012, second location opened in 2019.
Challenges: Planning of systems at second location and overall business management. Very basic POS system in original location with limited reporting functionality, no inventory or analytics, and no web based functionality.
Results: Prior to the new location opening, we implemented a modern cloud integrated POS system for the client. This keeps track of staff hours and inventory at both locations, as well as giving the owner access to insights on inventory, customer turnaround times, and profitability. Now with better oversight, they find it easier to co-manage both locations and keep the business running efficiently.
Sports & Leisure
Client background: Golf course and health club in Oxfordshire. Team of 15 + groundskeepers, therapists, trainers and other staff.
Challenges: Disjointed systems for marketing, sales, club management and site management leading to significant overlaps in data entry. No tools for unified business reporting, significant difficulty in accessing relevant data needed for planning.
Results: As well as significantly improving the performance and stability of the client’s network infrastructure, we have worked in conjunction with automation specialists to greatly reduce the amount of data entry required across the various management systems. We have devised a system which gives the management team significantly more useful reports from data gathered from across all systems, giving insight into customer engagement and satisfaction across all stages of their journey from initial contact to membership renewal.
These systems have empowered the club to make more informed decisions about marketing and operations and have helped drive business development. We are now embarking on a new project for the club to develop a bespoke CRM system.
Accommodation
Client background: boutique hotel in Berkshire with 8 rooms, bar/restaurant, lounge and garden.
Challenges: Unsuitable WIFI system for guest internet access. Poor performance and stability. No entry/automation system, badly functioning security system.
Results: We have implemented a separate and secure guest WIFI network with new access points accessible from all areas of the property. This controls guest usage based on duration of stay and balances bandwidth to ensure a stable connection for all guests and the hotel’s internal systems.
Additionally, we have implemented a new POS system for the front desk, as well as the bar/restaurant. The systems are integrated together to manage guest bookings, check-ins and final billing automatically.
We have also implemented new security systems including cameras for public areas and an after-hours access system based on the duration of stay.
